Topflight Insurance Solutions LLC (“Topflight,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information you provide to us. This Privacy Statement explains how we collect, use, disclose, retain, and protect information when you visit our website, request insurance information, schedule an appointment, communicate with our team, work with us as an independent insurance agent, or consent to receive SMS or MMS messages.

Information We Collect

We may collect personal information that you voluntarily provide, including your name, mailing address, email address, telephone number, mobile number, date of birth, insurance interests, coverage preferences, appointment information, service requests, and documents submitted in connection with Medicare, Marketplace, or related insurance services.

When you interact with us as an insurance agent or business partner, we may also collect information concerning contracting, licensing, carrier appointments, certifications, training, meetings, production support, commission questions, and other aspects of your business relationship with Topflight.

We may retain communications that you send to us, including website-form submissions, emails, SMS or MMS messages, appointment requests, telephone-call information, customer-service inquiries, and records of your communication preferences.

When you visit our website, certain technical information may be collected automatically, including your Internet Protocol address, browser type, device information, pages viewed, referring website, and the date and time of your visit. We may use cookies and similar technologies to operate the website, understand how visitors use it, and improve our services.

When you consent to receive text messages, we may retain your name, mobile number, the date and time of consent, the method through which consent was obtained, the disclosure or script presented to you, the specific messaging program for which you consented, your Internet Protocol address when consent is provided online, and records of subsequent opt-in or opt-out requests.

How We Collect Information

We may collect information directly from you through website forms, telephone conversations, in-person communications, SMS or MMS messages, emails, appointment requests, insurance applications, agent-contracting processes, and customer-support interactions.

We may also receive information from insurance carriers, authorized service providers, business partners, or other sources when permitted by law and reasonably necessary to provide requested services.

How We Use Information

We may use your information to answer questions, respond to service requests, schedule or confirm appointments, provide Medicare or Marketplace insurance assistance, support insurance applications, confirm receipt of documents or emails, and provide requested updates.

For insurance agents, we may use information to provide contracting, licensing, carrier appointment, certification, training, meeting, and operational support.

We may also use information to maintain consent and communication records, improve our services and website, prevent fraud or unauthorized activity, protect our rights and operations, comply with insurance-carrier requirements, and meet applicable legal, regulatory, or contractual obligations.

How We Share Information

Topflight does not sell or rent personal information.

We may disclose information to insurance carriers and related entities when necessary to provide insurance services requested by you. We may also share information with vendors and service providers that support our communications, scheduling, website, technology, document processing, customer service, or other business operations.

Information may also be disclosed to legal, accounting, compliance, or other professional advisers, as well as to courts, regulators, government agencies, or law-enforcement authorities when required by law or reasonably necessary to protect Topflight, our clients, our agents, or others.

Service providers are permitted to use information only as necessary to provide services to Topflight and are expected to protect the information appropriately.

Mobile Information and SMS Consent Data

No mobile information will be shared with third parties or affiliates for their own marketing or promotional purposes.

Text-message originator opt-in information and consent will not be sold, rented, or shared with third parties for their marketing or promotional purposes.

We may provide limited information to communications vendors and other service providers solely as necessary to operate our SMS or MMS program, deliver requested messages, maintain consent records, process opt-out requests, and support our communications systems.

SMS Terms and Conditions

By affirmatively opting in, you consent to receive informational and conversational SMS or MMS messages from Topflight Insurance Solutions LLC.

Messages sent to insurance clients or individuals requesting assistance may concern requested insurance appointments, appointment confirmations, scheduling changes, document or email receipt confirmations, responses to questions, service requests, and updates relating to Medicare, Marketplace, or related insurance services.

Messages sent to contracted or prospective insurance agents may concern contracting, licensing, carrier appointments, certifications, training, meetings, appointments, support requests, and other operational matters associated with the agent’s relationship with Topflight.

You may consent to receive messages by selecting an optional SMS-consent checkbox on a website form, providing documented verbal consent by telephone or in person, initiating a text-message conversation with Topflight, or using another opt-in method clearly presented by us.

Consent to receive text messages is voluntary and is not a condition of purchasing an insurance product or receiving services from Topflight. By opting in, you represent that you are the subscriber or customary user of the mobile number provided and are authorized to consent to receive messages at that number.

Message Frequency and Charges

Message frequency varies depending on your appointments, questions, document submissions, service requests, contracting activity, and active support needs.

Message and data rates may apply. Your wireless carrier may charge you for sending or receiving SMS or MMS messages according to your mobile service plan. Topflight is not responsible for charges imposed by your carrier.

How to Opt Out

You may opt out of SMS or MMS messages at any time by replying STOP.

After replying STOP, you may receive one final message confirming that you have been unsubscribed. No additional text messages will be sent unless you subsequently provide new consent or use an authorized resubscription method.

We will also honor other clear requests to stop receiving messages, including requests using words such as cancel, end, quit, or unsubscribe. Opting out of text messages does not prevent Topflight from communicating with you through other lawful methods, such as telephone or email.

CTIA recommends that message senders provide consumers with an accessible opt-out method, honor opt-out requests, and send no additional messages following the final confirmation.

Help and Customer Support

For assistance with the messaging program, reply HELP.

Message Delivery

Message delivery is subject to your wireless carrier and other service providers. Messages may be delayed, blocked, or unavailable because of carrier restrictions, network conditions, service interruptions, device settings, or other circumstances outside Topflight’s control.

Topflight does not guarantee that every SMS or MMS message will be delivered within a particular period of time.

Sensitive Information

SMS and MMS messaging are not guaranteed to be secure. Please do not send Social Security numbers, Medicare identification numbers, banking information, payment-card information, passwords, complete medical records, or other highly sensitive information through text messaging.

When sensitive information is required, Topflight may direct you to a more secure communication method.

Changes to Your Mobile Number

You should notify Topflight if the mobile number you provided is changed, disconnected, reassigned, or transferred to another person. This helps prevent messages intended for you from being delivered to someone else.

Data Retention

We retain personal information for as long as reasonably necessary to provide requested services, maintain insurance and business records, document consent and communication preferences, comply with legal and regulatory requirements, fulfill insurance-carrier obligations, resolve disputes, and protect our rights.

Retention periods may vary depending on the type of information and the reason it was collected.

Your Privacy Choices

Depending on applicable law, you may request access to personal information maintained about you, correction of inaccurate information, deletion of certain information, withdrawal of certain consents, or information about how your personal information has been used or disclosed.

Some requests may be subject to identity verification, legal exceptions, insurance-record requirements, or other applicable limitations. Privacy requests may be submitted to [email protected].
